How to track spending in multiple currencies
To track spending in multiple currencies, record every expense in the currency you actually paid, convert it to one home currency using the exchange rate of that day, and keep both amounts. That gives you an accurate total today and a history that does not change when rates move.
The common mistakes
Converting in your head. Rounding “about 1.1 dollars per euro” seems harmless, but small errors add up over a trip or a year.
Using today’s rate for old expenses. If you convert last month’s expenses at today’s rate, your past totals shift every time the market moves.
Adding different currencies together. 100 yen plus 10 dollars is not 110 of anything. Totals only make sense in one currency.
A method that works
- Choose one home currency. Usually the currency of your salary or your main bank account. All totals and budgets use it.
- Record the original amount. Enter what is on the receipt, in the currency on the receipt.
- Convert at the date of the expense. Use the rate for the day you paid, and save it with the expense.
- Keep the original. If you need to reconcile with a card statement or claim a reimbursement, you will want the original amount.
Mind the decimals
Not all currencies have cents. The Japanese yen and Korean won have no decimal places, while the Kuwaiti dinar has three. A tracker that stores everything as a decimal number can introduce rounding errors. Storing amounts in each currency’s smallest unit avoids that.
Card fees and cash
Your bank’s rate usually differs slightly from the market rate and may include a fee. If you want your records to match your statement exactly, enter the amount charged in your home currency once it appears. For cash, the rate at the time you paid is the most practical choice.
